A small
but growing PR consultancy based in the South East had two directors
not based full-time at their offices, which had a shared telephone
receptionist and admin support system. During a very busy period,
they began to urgently feel the need for higher level PA support
for diary management, and more importantly, for informed and intelligent
telephone support in dealing with clients. Working with the company's
existing telephone receptionist, we have devised a system in which
I am able to work effectively, but 'virtually', as the PA to four
directors wherever they may be - with nobody else realising that
I am not physically based at the company's offices.
Meeting arrangements are organised
using a web-based diary management system. I even have my own personal
e-mail with the company's domain name that I use when dealing with
clients and other third parties. Because I have an overview of all
the directors' priorities and movements, the telephone receptionist
has been instructed to pass on all their calls for me whenever they
are off-site - which means I can screen calls, deal with simple
queries myself, take a message or, when appropriate, pass on a call
direct to a mobile or landline, including a home office! The system
means that during working hours, important contacts always reach
an informed person and a voice - never a voicemail. With the company's
stationery in my cupboard, I can even take dictation and send letters
that do not require a personal signature on their behalf!
